Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

From sign-up to daily profit

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

Scan the item or its scale label, take M-Pesa, cash or both on one bill, let a regular put the rest on deni, and hand over the receipt on paper or send it by SMS.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

Built around M-Pesa, dukas and deni

A Kenyan shop runs on M-Pesa, on regulars who buy on deni and settle at month end, and on stock that has to reach branches in Nakuru, Eldoret or Kisumu. ArmPOS puts the till, the deni book and the branch stock in one POS and inventory management system.

  • M-Pesa at the till and online

On a paid plan, customers pay by M-Pesa at the till through your shop's own MarzPay account, and online buyers choose M-Pesa, card or cash on delivery. Every payment is stored with the sale it settles, so a paid web order and a paid counter sale look the same in your books.

  • Shillings from the till to the subscription

Shelf prices, receipts and profit are kept in KES down to the last shilling, and the ArmPOS subscription is paid by M-Pesa for exactly the KES figure on the pricing section.

  • Dukas, chemists and wholesalers

A chemist buys tablets by the box and sells them by the strip, a mini-mart in Thika scans every packet at a busy till, and a wholesaler in Eastleigh sells to retailers who clear their balance every week.

  • Branches upcountry

Add a branch in Kisumu or Eldoret to the same account, give its cashier access to that branch alone, and follow its sales from Nairobi the same day.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Mobile money

Take M-Pesa at the till and in your online shop.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best POS system for a duka that takes M-Pesa?
ArmPOS takes M-Pesa and cash at the same till, keeps stock for a duka of a few hundred items, and runs on the phone or laptop you already own. Open the free plan, load your own items and sell for real before you spend a shilling.
Can I see which sales were paid by M-Pesa and which by cash?
Yes. Every payment is saved with its method, and the sales payments list filters by method and date, so the evening's M-Pesa total can be checked against your M-Pesa statement. Open and close the cash register for each shift and record cash taken out for change or expenses, and the drawer has a trail too.
My regulars buy on deni. Can ArmPOS track what each one owes?
Yes. Record the sale as unpaid or part-paid and the balance lands on that customer's account. Set a credit limit for each regular, take repayments as they come in by M-Pesa or cash, and check the balance before you agree to the next round of deni.
Does ArmPOS suit an agrovet selling seed, fertiliser and vet drugs?
Yes. Maize seed, vaccines and dewormers arrive as batches carrying an expiry date, and the till sells the oldest-dated batch before a newer one is touched. Fertiliser can be bought by the 50kg bag and sold by the kilo, with the units set once for each product.
How much is ArmPOS a month in Kenya shillings?
Starter costs nothing, and its allowance of 1 branch, 2 users and up to 50 products covers a kiosk in Kawangware or a small duka in Kisii that stocks a few dozen lines, with no card number asked for at sign-up. Growing shops pay for a bigger plan through M-Pesa, and the pricing section shows each one in KES, converted from dollars every day. Professional suits a chain of up to 5 warehouses, and Enterprise is for groups that need more than that.
Can I run branches in Nakuru, Eldoret and Mombasa from Nairobi?
Yes. Each branch keeps its own stock in the same account, and goods leave the Nairobi store on an approved transfer, so the stock leaves one count and arrives in the other. From head office you compare sales, stock and profit branch by branch and see which one is running short.
Can a supermarket use the barcodes printed by its weighing scale?
Yes. Produce and meat weighed at the deli or the fruit stand get a label from the scale, and the cashier scans it like any other barcode, so a kilo of tomatoes is sold at its weighed price without anyone typing a number.
Can I send regulars an SMS or WhatsApp message when new stock lands?
Yes. Send SMS, email or WhatsApp messages to the customers on your list, one by one or as a campaign, so a mini-mart can announce that back-to-school stock is in, or a chemist can tell a regular that their usual order has arrived.
