Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

Ready for the weeks before the rains

For a Malawian input shop, the busiest weeks come just before planting. The next consignment can also cost far more kwacha than the last one did. ArmPOS holds the stock, the prices and the branches in one place, so neither the rush nor the new costs catch you short.

  • Each way of paying, kept apart

Cash, bank transfers and cards swiped on your bank's terminal are each saved against the sale, and you can add any other method in Settings. ArmPOS writes down the card payment but has no link to the terminal itself. A farmer can settle part in cash and the rest by transfer on one bill.

  • When the next consignment costs more kwacha

When a delivery of fertiliser or iron sheets lands at a higher kwacha cost, enter that cost on the purchase. Change the product's price once and every branch sells at it from the next customer. Plans show in kwacha on the pricing section, converted from dollars daily.

  • Agro-dealers, hardware shops and grocers

An agro-dealer in Kasungu receives fertiliser by the truckload and sells it by the 50kg bag. A hardware shop near Limbe market keeps cement, iron sheets and nails in a yard behind the counter. A pharmacy in Zomba sells each medicine from the batch that expires first.

  • From the Southern Region to the North

Run a second shop in Mzuzu or Zomba from the same account, with cashiers who sign in to that shop. Stock sent from the Lilongwe store moves only when someone approves the transfer, and each branch reports its own sales and profit.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Split payments

Take cash, card and other methods in one sale, and record exactly how each customer paid.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best POS system for an agro-dealer getting ready for the planting season in Malawi?
Choose one that knows every bag, pack and bottle in your store room before farmers start queuing. ArmPOS counts fertiliser by the 50kg bag, holds seed and crop chemicals as batches with expiry dates, and sells the oldest batch first. Farmers are advised to ask for a receipt when they buy seed, and the till prints one for every sale.
My next consignment will cost more kwacha. How do I keep my margin?
Record the purchase at what the supplier charged you, then raise the selling price on the products it affects. Compare the profit and loss report month by month to see whether your prices kept up. The stock value report adds up what the goods already in the store room cost you.
How do I know what to reorder before the rains arrive?
Set an alert quantity on each product. Once stock reaches that number, a notice appears under the bell. The dashboard flags the item too, and so does the Product Quantity Alerts report. Turn that list into a purchase order while the supplier still has stock. When the truck arrives, receive the load into the store where it is unloaded.
Seed comes in packs of different sizes. Can each size have its own barcode?
Yes. Make the seed one product with a variant for each pack size, and give every variant a barcode of its own. Scanning a pack picks the right size, and stock is counted size by size, so you see which pack runs out first.
A farmers' club pays part in cash and the rest by bank transfer. Can one sale take both?
Yes. Split the bill between the two methods, and ArmPOS saves each part under the same sale. Give every bank account you use its own method, and the payments report shows what reached each account, ready to set beside the bank statement.
I am opening in Mzuzu while my main store stays in Lilongwe. Can the Mzuzu manager see only Mzuzu?
Yes. A manager assigned to the Mzuzu branch sells, receives deliveries and counts the shelves there without opening Lilongwe's figures. From your own login you compare both branches on the dashboard, wherever you happen to be that day.
What will ArmPOS cost in kwacha, and how is it billed?
Starter is free, and its 1 branch, 2 users and up to 50 products let a village agro-dealer run a whole season without a card. Paid plans are billed in US dollars to a card, so their kwacha figure on the pricing section climbs if the kwacha weakens. Professional runs as many as 5 warehouses, and Enterprise has no upper limit.
The season is over. How do I count what is left in the store room?
Download a count sheet for the store room, sorted by category, so fertiliser can be counted before seed. Write down what is on the floor, key it in, and ArmPOS adjusts the stock to match. Bags that split or got wet go down as damages, so they never hide inside the count difference.
