Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

From sign-up to daily profit

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

At the counter you scan or search each item, pick whether it leaves as a whole carton or a single piece, take cash, MTN MoMo, Airtel Money or Zamtel, and the storeroom total drops by exactly what went out of the door.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

Made for Zambian counters, from Cairo Road to Kitwe

A Zambian shop gets paid on three mobile networks, buys its stock in bags and cartons, and often trades where the connection comes and goes. ArmPOS holds the till, the storeroom and the supplier accounts together, whether you sell from a Kamwala shopfront, a hardware yard in Ndola or an agro-dealer's counter in Chipata.

  • MTN MoMo, Airtel Money and Zamtel

Whether the customer's phone carries an MTN, Airtel or Zamtel SIM, they can pay you from it, standing at the counter or ordering from your online shop. ArmPOS files every one of those payments under the sale it paid for, and the payments report lists them beside the cash.

  • Kwacha from shelf to subscription

Set ZMW as the shop's currency and shelf prices, receipts and profit all read in kwacha. When the shop outgrows the free plan, the upgrade is quoted in kwacha too, converted on the day you look, and one payment from MTN MoMo, Airtel Money or Zamtel settles precisely that figure.

  • Agro-dealers, hardware yards and Kamwala wholesalers

An agro-dealer in Chipata sells maize seed and D-Compound by the 50kg bag and tracks each batch of herbicide by its expiry date. A hardware store in Kitwe moves cement, roofing sheets and plumbing fittings out of a yard and a storeroom, and a Kamwala wholesaler sells a whole carton to one trader and a single packet to the next person in line.

  • From Lusaka to the Copperbelt and Livingstone

Open a second shop in Ndola or Livingstone on the same account, fill it from the Lusaka store with a stock transfer that waits for someone to approve it, and compare what each branch sold and earned at month end without adding the figures up by hand.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Mobile money

Take MTN MoMo, Airtel Money and Zamtel at the till and in your online shop.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best POS for an agro-dealer in Zambia?
An agro-dealer's stock comes in bags and goes off in bottles, so the system has to handle both. ArmPOS receives seed and fertiliser by the bag, records herbicides and pesticides as batches carrying an expiry date, and sells from the batch that expires first. Before planting starts, the expiry report lists the chemicals that need to move soonest.
Some customers are on MTN, some on Airtel and some on Zamtel. Can all of them pay me?
Yes, on a paid plan: connect your shop's own MarzPay account and ArmPOS collects MTN MoMo, Airtel Money and Zamtel through it, at the till and in your online shop, so a customer on any of the three is served the same way. When a customer insists they paid yesterday, open their sale and the payment is either there or it is not.
The connection keeps cutting out at COMESA market. What happens to a sale I am halfway through?
You finish it. Once the POS has been opened online, it goes on ringing up sales after the internet goes, holds them on the phone or tablet, and sends them to your account when the network returns, with no sale counted twice. Mobile money needs the connection, so while you are offline, take cash and the sale is recorded as usual.
Can a hardware store in Ndola order from its suppliers inside ArmPOS?
Yes. Raise a purchase order for the cement, roofing sheets and fittings you need, and when the truck arrives, receive the goods into the yard or the storeroom where they were unloaded. Anything you have not yet paid a supplier stays on their account, so you know who is owed what before the next order goes out.
How much does ArmPOS cost a small shop in Zambia, and how do I pay?
A small shop can run on Starter for nothing: it covers 1 branch, 2 users and up to 50 products, and opening the account asks for no card. If the shop outgrows it, the pricing section shows each paid plan as a kwacha figure at the day's rate, which you pay from the MTN MoMo, Airtel Money or Zamtel wallet on your own phone. A trader with stores in Lusaka, Kabwe and Kitwe fits inside Professional's 5 warehouses, and a group spread over several provinces moves to Enterprise, which has no ceiling.
My shop assistants work different shifts. Can ArmPOS keep their attendance?
Yes. Each assistant signs in with a login of their own, ArmPOS keeps records of their shifts, leave and attendance, and the users report lists the sales each person made. Their role settles the rest: you can let the morning cashier sell and take returns while keeping price changes and the profit report for yourself or a manager.
My stock list lives in an Excel file. Do I have to type everything in again?
No. Import your products from Excel, along with your customers and suppliers, and bring in past sales and purchases from a CSV file. A hardware store with a long list of fittings starts with its real stock on the first day instead of spending a week at the keyboard.
Can I see how much money is tied up in the goods on my shelves?
Yes. The stock value report adds up what you hold in each warehouse, and you can print it or export it to PDF or Excel. Read next to the profit and loss statement, it shows whether last season's takings went into goods that are still sitting in the storeroom.
