Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

From sign-up to daily profit

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

Scan a single bottle or a whole case, let the customer tap at your bank's terminal or pay in notes, then print an 80mm slip.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

One account, every licensed premises

In Botswana a bottle store needs a liquor licence for each location, so owners already think premises by premises. ArmPOS is organised the same way: each shop is a branch with its own stock, staff and figures, and you see them all from one login.

  • Taps, swipes and notes, totalled apart

When a customer taps or swipes on your bank's terminal, the cashier records a card payment, though ArmPOS is never connected to that terminal. Cash and bank transfers are noted the same way. A bill can be split between two methods, and each method you add in Settings gets its own daily total.

  • Pula from the shelf to the report

Shelf prices, till slips, stock values and profit all read in pula. Paid plans carry a pula figure on the pricing section, which follows the exchange rate day by day. Set that figure beside the shop's monthly rent before you choose.

  • Bottle stores, tuck shops and hardware stores

A bottle store in Francistown sells beer by the case and by the bottle. A tuck shop in Mogoditshane moves bread, milk and cold drinks over the counter all day. A hardware store in Gaborone keeps paint and plumbing fittings on numbered racks, while a shop in Maun supplies visitors heading into the Okavango Delta.

  • Gaborone, Francistown, Maun and beyond

Give each premises its own branch, in Palapye, Serowe or Kasane, and decide which staff work where. Cases move between branches only on a transfer a manager has approved. Each branch's sales, stock and profit can be read alone or beside the others.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Split payments

Take cash, card and other methods in one sale, and record exactly how each customer paid.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best POS system for a bottle store in Botswana?
For a bottle store, the system has to keep cases and single bottles in one count and show each licensed premises on its own. ArmPOS buys beer in by the case, sells it by the case or the bottle, and takes off exactly what left the fridge. Run your first premises on Starter for free, with 1 branch, 2 users and up to 50 products.
Bottles break in the store room. How do I take them out of stock?
Write them off as damages. Breakages are recorded apart from the differences a stock count turns up, so you can tell what broke from what went missing. A count sheet for the store room, downloaded by category, makes the month-end count quicker.
I hold licences for two bottle stores. Can ArmPOS keep their stock apart?
Yes. Set up each store as a branch with its own stock, cashiers and register. A case sent from one store to the other travels on a transfer that someone has to approve, so neither count drifts. On the dashboard you compare both stores from your phone.
Most of my customers pay by card. Can I check the card total against the bank?
Yes. Add a payment method for each terminal you use, and the cashier chooses it when the customer taps. The payments report then gives each terminal's total per day, ready to match against what the bank pays in. Cash, transfers and split bills sit beside them in the same report.
A lodge near Maun buys from me every month on account. Can ArmPOS invoice it?
Yes. Make the lodge a customer, sell to it on account and email it a PDF invoice. Its balance grows with each delivery and falls as it settles, and the credit limit you set stops any sale that would pass it. At month end, the customers report lists every account still open and how much each one owes.
How is ArmPOS paid for from Botswana, and in which currency?
With a card, and the charge is in US dollars rather than pula. The pula amounts on the pricing section are those dollar prices converted that day, so they shift a little through the year. A business that outgrows Starter moves to Professional, with room for 5 warehouses, or to Enterprise, which sets no cap.
My cashiers take turns on the busy Friday evening shift. Can I see who was at the till?
Yes. Every cashier signs in with a login of their own and opens the register at the start of the shift. At closing, ArmPOS shows what should be in the drawer, and the shift and attendance records show who worked which evening.
Some hardware items arrive without a barcode. Can I print labels for them?
Yes. Print barcode labels for those products on a label printer, stick them on, and the till scans them like any factory barcode. Bolts sold from a tray, or rope you cut and bag yourself, then sell by scan instead of by search.
