Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

From sign-up to daily profit

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

Scan with a USB scanner or the phone's camera, record a card, notes or an EFT, and print an 80mm slip.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

Built for a country of long roads

A Namibian business can keep its warehouse in Windhoek, a shop in Oshakati and another in Katima Mulilo, a long day's drive apart. ArmPOS puts all three under one login, so distance no longer hides what each of them sold.

  • Cards, EFTs and a drawer that balances

The cashier marks each sale as card, cash or EFT, and ArmPOS logs the method while your bank's terminal works on its own. Rand and Namibian dollar notes count the same in the drawer, so the expected cash at closing holds for both. A bill can be split between a card and notes.

  • What each far branch is holding

Shelf prices, slips and profit read in Namibian dollars. The stock value report shows the money sitting on each branch's shelves. You see at once when Katima Mulilo holds more than it sells. The plan cards on this page are priced in Namibian dollars too, at the day's rate.

  • From Oshikango wholesalers to Swakopmund cafés

A wholesaler in Oshikango sells building materials by the load to buyers from across the Angolan border. A farm supply store in Gobabis keeps livestock vaccines by batch and expiry date. A café in Swakopmund sends orders to a kitchen screen while visitors wait at the tables.

  • Transfers that travel the B1

Stock sent from the Windhoek warehouse to Ondangwa or Rundu moves between the two counts only once someone approves the transfer. Every branch opens and closes a register of its own, with its own cashiers. Head office compares branches side by side without driving to any of them.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Split payments

Take cash, card and other methods in one sale, and record exactly how each customer paid.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best POS system for a business with branches across Namibia?
Choose one that puts every branch in a single account you can read from anywhere, which is how ArmPOS works. Each branch sells and counts its own stock, and the dashboard shows Oshakati's and Walvis Bay's day side by side. Head office no longer waits for a phone call to know the takings.
How do I send stock from Windhoek to a branch in the north?
Create a transfer from the Windhoek warehouse to the branch, and it waits for someone with the right role to approve it. The goods then leave one count and join the other, so a truckload is never counted in both towns or in neither.
I sell to buyers from Angola at Oshikango. Can I give them a quotation first?
Yes. Prepare a quotation, email it, and turn it into a sale once the buyer agrees, without keying the order in again. A PDF invoice travels with the load, and a regular buyer's account shows what is still owed.
My farm supply store is a long way from its supplier. How do I reorder in time?
Set each product's alert quantity high enough to last until the next truck arrives. When stock falls to it, the bell and the dashboard flag the product, and the Product Quantity Alerts report lists everything to reorder. A sack of lick can go out whole to one farmer and by the kilo to the next, and the shelf figure follows.
If the connection at my Opuwo shop drops for hours, can I still sell?
Yes, provided the POS was open before the line went down and the device keeps its power. Every sale is held on that device and synced to your account when the network returns, with none recorded twice. Open the POS once on any new tablet while it is online.
My Swakopmund curio shop also sells on Shopify. Will the stock agree?
Yes. ArmPOS keeps products, stock and orders in step with your Shopify or WooCommerce store. A carving sold online at night is off the shop's count by the time you open in the morning.
Do I pay for ArmPOS in Namibian dollars?
No: plans are charged to a card in US dollars, and the Namibian dollar price shown here is a conversion at the day's rate. Because the currency follows the rand, that figure moves while the dollar price stays fixed. Starter is free and needs no card; the plan cards show what each paid plan adds.
Can my manager in Walvis Bay see only her own branch?
Yes. Limit her login to the Walvis Bay branch, and she sees its sales, stock and staff but no other branch. You keep the view of the whole business, and the attendance records show who worked each shift there.
