Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

From sign-up to daily profit

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

Weigh out the rice or scan the sack, settle in notes, card or transfer, and hand the customer a printed receipt.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

A trading year that turns on cashew

Cashew is Guinea-Bissau's main export, and the campaign that opens in spring sends money and rice around the towns. ArmPOS helps you have the goods on hand when customers come, and shows what each season earned.

  • Notes, card and transfer

Each sale records how the customer settled. The choices are CFA notes, a bank transfer, or a card where your bank has put a terminal on the counter. ArmPOS has no link to that machine; it just files the payment method with the sale. If the shop uses two banks, create a method for each in Settings, and the evening's payments report shows what went into each.

  • The same franc as Senegal

Guinea-Bissau uses the UEMOA's CFA franc, the same money as Senegal. Goods bought in Dakar or Ziguinchor are paid for and resold in one currency, with no exchange in between. Prices, receipts and profit stay in CFA francs, and so do the ArmPOS plans on the pricing section.

  • Wholesalers, corner shops and motorbike parts

At Bandim, rice leaves a wholesaler's store in full sacks for retailers and in kilos for anyone passing. In Bissau's neighbourhoods, a corner shop decants cooking oil from jerrycans and sells it a litre at a time. A parts shop in Gabú files each motorbike part under its model, with a barcode of its own.

  • A branch in Bafatá or Gabú

Bafatá and Gabú can each run as a branch of your Bissau business, staffed and stocked separately. Sacks leaving the Bissau warehouse go out on a transfer that someone with permission must accept, and only then change count. In the evening, set each town's sales side by side on your phone.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Split payments

Take cash, card and other methods in one sale, and record exactly how each customer paid.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best inventory software for a shop that lives off the cashew campaign?
It is the one that shows you what to order before the campaign and how much you sold after it. In ArmPOS, the sales report for any date range puts the cashew months beside the rainy season, product by product. With those figures, you know how many sacks of rice to ask the wholesaler for next year.
Some customers buy on credit and pay when they sell their cashew. Can ArmPOS track those debts?
Yes. Mark the sale as owed in full or in part; what is owed builds up against that customer's name. A credit limit on each buyer stops the till from adding sales once their debt reaches it. Once the cashew money comes in, the customers report is your list of whom to visit and for how much.
My Senegalese business partner prefers French. Can we use ArmPOS in different languages?
Yes. In ArmPOS, the language belongs to the device rather than the login. His phone shows the menus in French while the counter tablet stays in Portuguese, and a report opened in French gives the same numbers.
I order from a wholesaler in Dakar and pay in instalments. How do I keep track of that debt?
Record the order as a purchase from that supplier and each instalment as a payment against it. The wholesaler's record shows what is left to pay, and the suppliers report lists every debt in one place. When the cargo reaches Bissau, receive it into the warehouse where it will stay.
I sell phones at Bandim market. Can I record each handset's IMEI?
Yes. Each handset gets its IMEI typed in when you receive it, and that number stays with it until the sale. A handset returned with a fault can be traced back through the sale to the supplier it came from.
Can I start without paying anything?
Yes. On Starter the shop runs free, with no card asked for. When the shop outgrows it, the plan you choose is billed to a bank card in US dollars, not in CFA francs. The plan cards above show each one's CFA franc figure and what it covers.
My product list is in a notebook and partly in an Excel file. Do I have to type it all again?
No. Copy the notebook pages into Excel and import products, customers and suppliers in one go. Older sales and purchases can follow from a CSV export. Then check the imported stock once against what is in the shop.
In the campaign the drawer fills with notes. How do I check the cash at closing?
Open the register in the morning with a float of change and record every cash payout, such as paying a porter. When you close, count the notes against the figure ArmPOS expects, and any shortfall is plain before the money goes to the bank.
