Why ArmPOS

One system for sales, inventory and every branch

Most small businesses juggle a till, a stock book and a spreadsheet. ArmPOS brings your point of sale, inventory management, purchasing and accounting into one system, so every sale updates your stock and your numbers at once.

Every branch, one view

See stock in every shop and warehouse from one account, down to the rack. Move items between branches with approved transfers, and every movement is recorded.

Know before you run out

Set an alert quantity for each product. When stock falls to it, ArmPOS flags it in the notification bell and on the dashboard, branch by branch, so you reorder before a customer leaves empty-handed.

Speaks your team's language

Use ArmPOS in 24 languages, including English, Spanish, French, Arabic, Hindi and Chinese, with right-to-left screens for Arabic.

Profit you can see

Sales, profit and stock value update with every sale. Open the dashboard on any device and know how today is going, branch by branch.

Sell online too

Open your own online shop with the same products and stock. Online orders become sales in ArmPOS, so you never sell what you no longer have.

How ArmPOS works

From sign-up to daily profit

Create your free account and set up your shop in minutes. Import products, customers and suppliers from Excel, and give each person on your team their own login.

Put the sugar on the scale, scan the label it prints, settle the bill in dobras, card or transfer, and print a 58mm slip.

Every sale, purchase, return and transfer updates your inventory. See what your stock is worth and what is running low in each branch.

Sales, profit, inventory and staff reports for any branch and any dates, ready to print or export to PDF and Excel.

A shop that runs on the container schedule

More than half of what the country imports comes from Portugal, and its rice and wheat flour arrive by sea. ArmPOS keeps the account of every load from the port to the shelf, and tells you what to reorder before it runs out.

  • Dobras in notes, counted at closing

Most São Toméan shops are paid in notes. That is why the register opens each morning with a float, and closing shows how much should be in the drawer. Card payments on the bank's terminal and bank transfers are logged as separate methods, with no link to the terminal itself. Every method you create in Settings has its own total in the payments report.

  • A whole day in dobras

From the shelf to the weekly profit, every figure reads in dobras. The dobra is pegged at 24.5 to the euro. That is why the plans' dobra amounts on the pricing section move with the euro against the dollar.

  • Grocers, pharmacies and hardware stores

A grocer in central São Tomé sells rice by the kilo from 50kg sacks. A Trindade pharmacist knows which box of tablets runs out of date next, and sells that one first. In Santo António, a hardware shop counts every tin of paint before the next boat is due.

  • A branch across the water

Open the Santo António shop as a branch with its own stock and staff, and supply it from São Tomé city by transfer. The goods change count only when someone with permission accepts their arrival on Príncipe. In August 2026 a damaged ship blocked Santo António's port for about a week, and the island's exact stock suddenly mattered.

Point of sale features

Everything you need at the counter: a fast POS screen on any device, flexible payments, and receipts your customers can keep.

  • Fast checkout

Search or scan products, apply discounts and promo codes, and complete a sale in seconds on a computer, tablet or phone.

  • Barcode scanning

Scan with a USB scanner, a phone or tablet camera, or weighing-scale labels that carry the weight in the barcode.

  • Split payments

Take cash, card and other methods in one sale, and record exactly how each customer paid.

  • Receipts and invoices

Print receipts on 58mm or 80mm thermal paper or A4, or send them by email or SMS. Turn quotations into sales and PDF invoices.

  • Held sales and returns

Park a sale and finish it later, and take returns at the till that put items straight back into stock.

  • Cash register

Open and close the register, record cash in and out, and see what the drawer should hold at the end of each shift.

  • Customers and loyalty

Keep customer records and balances, and reward repeat buyers with loyalty points they spend at the till.

  • Keeps selling offline

If the internet drops while you sell, ArmPOS keeps recording sales on the device and syncs them when you're back online.

Inventory management features

Know what you have, where it is and what it's worth, in every shop and warehouse. Your stock updates itself as you sell, buy, return and transfer.

  • Multi-branch inventory

Track stock in every shop and warehouse, down to the rack, from one account.

  • Stock transfers

Move stock between branches with transfers that need approval, so every item is accounted for.

  • Low stock alerts

Set an alert quantity per product, and the bell, the dashboard and the quantity alerts report show what to reorder in each branch.

  • Purchases and suppliers

Raise purchase orders, receive stock into the right warehouse and track what you owe each supplier.

  • Batches and expiry dates

Track batches with expiry dates and sell the earliest-expiring stock first, for pharmacies and food businesses.

  • Serial and IMEI numbers

Record serial or IMEI numbers for phones and electronics, and trace every unit from purchase to sale.

  • Variants and units

Sell in sizes and colours, by the pack or by the piece, with unit conversions handled for you.

  • Counts and adjustments

Download a count sheet by warehouse and category, then record adjustments and damages so your records match the shelf.

Run the whole business

Beyond the till: your online shop, your accounts, your team and the tools you already use, in the same system as your sales and stock.

  • Your online shop

Your own web shop with collections and banners. Customers pay by card or cash on delivery, and orders come from the same stock.

  • Accounting and profit

Expenses, cash and bank accounts, profit and loss, and a full accounting module with journals, a trial balance and a balance sheet.

  • About 60 reports

Sales, payments, tax, customers, suppliers, staff and inventory reports, including stock value, ageing and expiry, to print or export.

  • Staff and permissions

Give each person their own login and decide what they can see and do. Keep shifts, leave and attendance records too.

  • Integrations

Sync products, stock and orders with WooCommerce and Shopify, and send your sales to QuickBooks as invoices.

  • Messages and campaigns

Send invoices and marketing campaigns by email, SMS and WhatsApp to bring customers back.

  • Hardware that fits

Works with USB barcode scanners, 58mm and 80mm receipt printers, label printers, a customer display and cash drawers through QZ Tray, or simply the phone you already have.

  • Kitchen display

Send orders from the till straight to a kitchen screen, so cafés and takeaways prepare them in order without paper tickets.

Frequently asked questions

What is the best stock software for a São Tomé grocer that buys from Portugal?
It is the one that turns each container into a recorded purchase, with the supplier, the quantities and each line's cost. In ArmPOS you raise a purchase order to the Lisbon supplier and receive the cargo into the warehouse where it will sit. The amount still owed shows on that supplier's record until you pay it.
I buy flour in 50kg sacks and sell it by the kilo. Does the stock stay right?
It does, in both measures. Tell the product how many kilos a sack holds. Then receive the purchase in sacks and sell by the kilo, or a whole sack to a bigger buyer. The stock report values that flour in dobras at cost.
The internet drops in the middle of the afternoon. Do I lose those sales?
No. A till that was already open carries on ringing up sales offline, provided the phone or laptop is not switched off. Every afternoon sale sits in that device's memory until the network returns, then reaches your account with no duplicates. A brand-new device has to open the POS once with the internet, so set it up before it goes to the counter.
I sell powdered milk and tinned food from Portugal with expiry dates. How do I stop them going out of date on the shelf?
Type in the expiry date from the pack when each batch arrives. When you sell, ArmPOS picks the batch with the nearest date, so milk that came in March leaves before milk that came in June. Every Monday, check the expiry report and put a discount on anything due to go off within the month.
Damp spoils some of the flour and sugar in the storeroom. How do I take it out of stock?
Record those quantities as damages, and ArmPOS removes them from stock without counting them as sales. At month end you see what was lost, in dobras. To count the storeroom, download the sheet for one category at a time, fill in what you find and save the adjustment.
Can I tell customers when the Lisbon container is in?
Yes. On the day the salt cod and olive oil are back on the shelves, send your customer list an SMS, email or WhatsApp campaign. You can also message one regular alone when the order they asked for arrives.
What does ArmPOS cost for a shop in São Tomé?
Starter, the free plan, lets a São Tomé shop open its account without a card. A bigger plan is billed in US dollars to a bank card, and the pricing section turns that into dobras. What each plan adds is spelled out on its card above.
I sell island coffee and chocolate with no barcode. Can the till read them?
It can once you print labels. Create a barcode for each product, print it on a label printer and stick it on the bag of roasted coffee or the chocolate bar. From then on, the cashier scans them like any imported product.
